Summary of Position
Reporting to the Director of Administration, the Specialist, Order Processing will support customers/ brokers and proactively review, process, and follow up on customer orders to ensure accurate acknowledgments and prompt order shipment information. This is an ENTRY LEVEL role, it will be onsite at the Addison location, work hours will be normal business hours, 8:00am to 4:30pm or similar, Monday through Friday. The compensation will be hourly pay, $19-22.00 hour. There will be limited overtime, generally a 40 hour work week.
Essential Job Functions
- Receive POs via EDI, email, and customer portals, review POs for pricing and pallet quantity accuracy, and make changes with broker/buyer as needed.
- Enter POs into Syspro & customer portals.
- Confirm POs & delivery dates with broker/buyer.
- Email POs to brokers as required.
- Secure carriers for orders that are shipped direct to customers or outside storage facilities.
- Revise POs as needed including qty changes, delivery date changes or item changes.
- Respond to customer/broker requests pertaining to their POs or product needs.
- Work closely with the production scheduler to ensure timely deliveries and order fulfillment.
- Work with shipping to follow up on missed appointments by carriers or pick up changes.
- Maintain sales spreadsheets in Excel.
- Maintain Customer files.
- Comply with all Food Safety Requirements including GMPs when in production areas and reports all food safety or quality issues to supervisor or Food Safety department.
Qualifications
- High School diploma. (Associate or bachelor’s degree preferred.)
- Min 2+ years of experience in an administrative role requiring high-level of attention to details and strong time management and organization skills, preferably in manufacturing or food industry.
- Proficiency in MS Office suite (Excel, Outlook, Word, PowerPoint) and dual screens. Aptitude to navigate multiple customer websites and portals. EDI and ERP system experience a plus.
- Effective time management skills and the ability to prioritize work in a fast-paced environment.
- Natural customer service orientation with effective communication skills
